What should you check before uploading a work document to an AI chatbot?

Editorial discussion starter — ShamsMag This researched opening post is from the editorial team, not a question submitted by a reader. Before uploading a work file, separate three questions: do you have permission to share it, what sensitive information does it contain, and what does this particular product do with the upload? A paid account or a temporary chat should not be treated as blanket permission to disclose somebody else’s information. For example, Google’s Gemini Apps Privacy Hub explains that some data can be reviewed by people and that turning off activity does not eliminate every form of processing or retention. That policy concerns Gemini Apps; it should not be generalized to every API, business plan or AI provider. Check the terms and controls for the exact product you intend to use. Our editorial suggestion is to prepare a fictional or properly authorized, minimized sample when the real document is unnecessary. Removing a name alone may leave identifying information in the remaining text. Keep credentials, personal health records and unpublished client files out of this discussion. For discussion: what would your pre-upload checklist contain? Explain the checks, not the private contents of a real file.
